What you can do

Keep referral follow-through accountable

A referral follow-up is nonclinical work linked to a healthcare relationship opportunity. The Relationship Owner records the referral code, received date, follow-up due date and consent basis in the owning organization. These details help the Sales Manager understand the requested work and decide whether the submitted revision is ready to proceed.

Draft work stays with its preparer until it is submitted for review. Submitted work asks for an independent decision. Approved work can move to completion through the guarded action, while Rejected work retains the outcome of review. The opportunity remains the parent relationship throughout, so the reviewer can inspect the commercial context and its supporting evidence.

How the work is organized

  • Preparation. The Relationship Owner checks the referral evidence and links the follow-up to the correct opportunity and organization. The due date supports prioritization without changing the authority required to act.
  • Independent review. The Sales Manager checks the submitted revision and records Approve, Reject or Return with a reason. A returned decision explains what needs correction; the team agrees the correction path during setup.
  • Completion. The Relationship Owner acts on an Approved follow-up using its current revision. The action rechecks authority and records a receipt so the team can examine the result afterwards.

What to agree during setup

Define which referral evidence is required before submission and how the team records the consent basis. Choose examples that cover the actual nonclinical work being handled, such as confirming that a partner organization received the commercial follow-up requested by its contact. Keep clinical information in the customer’s clinical system and establish any connection separately.

Agree who can review when the usual Sales Manager prepared or changed the work. The independent decision must remain independent even when the due date is close. Also settle how a Return decision leads back to correction and a new review. A revision change should be visible to the next reviewer rather than silently inheriting the earlier decision.

Check the handoff on an actual case

Rehearse a referral received from an eligible partner account. The Relationship Owner enters the referral code, received date, due date and consent basis, then submits the record. The Sales Manager checks the parent opportunity and supporting evidence before approving the exact revision.

Have the Relationship Owner complete the approved follow-up and inspect the resulting receipt. Repeat with a Submitted follow-up and attempt completion before approval; the action must be refused. Finally, change the revision after review and confirm that the old decision cannot authorize the changed work. These cases establish where responsibility passes from the preparer to the reviewer and back.

What your team sees

  • Referral Review Queue — Submitted follow-ups awaiting an independent decision.
  • Referral Drafts — Referral evidence being prepared before submission.
  • Approved Referral Follow Ups — Reviewed work ready for the authorized completion action.
