What you can do
Keep quantity and custody together
Inventory positions retain the owning entity, product, warehouse, location and lot. The available quantity differs from stock that is held, picked, in transit or committed to production. Reservations claim eligible demand, and stock movements preserve the actual source event. A transfer between warehouses retains owned transit until the destination receives the exact remaining quantity. Warehouse Manager reviews the transfer before release; Warehouse Operator records the physical dispatch and receipt. Blind counts lock their population before observations, then require review before an adjustment can post. Finance Manager reviews material valuation consequences.
How the work is organized
- Position. Warehouse Manager reads owned quantity by product, warehouse, location, lot and custody.
- Movement. Warehouse Operator records dispatch and destination receipt against the same transfer.
- Count. A locked population separates observed variance from an approved stock adjustment.
What to agree during setup
Agree who owns each warehouse and which locations may hold available, reserved or held stock. Warehouse Manager should see the source and destination before approving a transfer. Warehouse Operator needs a method to record the actual dispatched quantity and later receipt without treating transit as lost stock. Confirm the entity remains the owner while stock travels.
Choose a lot with a partial transfer and agree who investigates the quantity still in transit. Set the count scope and lock period so later movements do not silently alter the population. The person recording the blind count should not turn a variance into stock without review. Finance Manager needs the value consequence before a material adjustment posts. Reconcile the final position to stock events, and test a duplicate receipt and a transfer above available quantity.
Check the handoff on an actual case
Choose a lot held in one warehouse and transfer only part to another. After dispatch, check that the source decreases and owned transit remains visible. Receive less than the dispatched quantity and leave the remainder in transit. Count the receiving location while its scope is locked. Enter an observed variance and confirm it stays separate from the posted adjustment until the required review. Reconcile the final position with stock events and carrying value, rather than treating the count sheet as a second balance.

What it keeps track of
Data model- Inventory positions
- Current owned stock by complete identity and custody state; provenance is not a second balance.
- Inventory reservations
- Exclusive bounded demand claims through picking and owned transit.
- Stock transfers
- Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
- Stock transfer lines
- Partial transfer quantities retain equal in-transit ownership and cost.
- Stock events
- One immutable group of stock movements and the associated journal effect.
- Stock movements
- Signed position/layer legs; transfers balance quantity and value by SKU.
- Stock layers
- Remaining quantity/carrying value with receipt/output/return lineage.
- Inventory counts
- Blind scoped counts with explicit review and cost before adjustment.
- Count lines
- Observed base quantity and signed variance against an unchanged locked population.
- Count locks
- Time-bounded counted scope protecting all identities, including newly appearing positions.
- Warehouses
- Physical sites may host segregated entity-owned positions; legal owner stays on each position.
- Locations
- Shallow warehouse bins, staging and transit custody locations.
Who uses it
Permissions- Warehouse Manager
