Charge and receipt review

The guest account combines folio charges, outlet charges and payment receipts through their shared stay. Finance Officer manages the money records. Operations Reviewer can inspect the source evidence. The team should know whether a charge is still a draft and whether a receipt has actually been confirmed before closing the guest's stay.

Step by step

  1. Prepare charge Finance Officer

Finance Officer records the dated amount and stay reference while the charge is Draft.

    • Links draft amount to the stay
    • Updates Charges, Outlet charges, Leases
  2. Review posting Finance Officer

Check the description, amount and reservation before moving a charge from Draft to Posted.

    • Moves authorized Draft to Posted
    • Updates Charges, Outlet charges
  3. Record payment Finance Officer

Create a receipt against the same stay with its payment reference and Pending status.

    • Keeps payment reference with the stay
    • Updates Receipts, Leases
  4. Confirm receipt Finance Officer

Update the receipt to Confirmed only when the payment result supports it.

    • Distinguishes Pending from Confirmed
    • Updates Receipts
  5. Reconcile departure Finance Officer

Compare posted amounts with confirmed receipts and acknowledge an outstanding account if needed. Finance Officer records the explicit account decision before checkout.

    • Shows covered and outstanding amounts
    • Updates Charges, Outlet charges, Receipts, Leases
