Who it's for

Hotels

A hotel needs the desk to know who is arriving, which unit is assigned and whether that room can receive the guest. Hotel PMS gives the Property Manager a reservation linked to a guest party, unit and quoted nightly rate. Service tasks and guest account records remain attached to the same stay. That shared reference helps the next shift pick up the work without relying on a verbal summary.

How Hotel PMS is set up for you

Arrival desk

Review confirmed reservations by arrival date, then open the assigned unit and guest record before check-in.

Housekeeping

Move checked-out rooms into Cleaning and review completed cleaning tasks before returning them to Available.

Guest account

Finance Officer separates posted charges from drafts and confirmed payments from pending receipts.

Start with the room inventory, a small set of dated rate plans and real guest parties. Use a week containing both arrivals and departures. Record one requested stay, one confirmed stay and one in-house stay so staff can rehearse each handoff. Add a restaurant booking and its charge against the in-house reservation, then check how the guest account reads at departure.

Agree on who confirms a request when the same room has competing dates. Set a clear policy for guest counts above unit capacity. Ask the desk to test a room that is currently Available but already reserved for a future night. Ask housekeeping to complete a cleaning task while the manager still controls the final unit status. These cases make the separation between a booking decision and current room condition clear.
