What you can do
Give each new hire dated tasks and keep a separate record of course completion
An onboarding checklist belongs to an employee, has a start date and target completion, and holds assigned tasks by category. Tasks track due date, assignee, completion and evidence. Courses describe the learning catalog; course enrollments hold the employee, assignment reason, due date and status. A training record retains the completion date, certificate location, expiration date and validity state.
How the work is organized
- Checklist. Admin ties the start date and employee to a checklist and assigns dated tasks.
- Course work. L&D Admin tracks the employee, course, assignment reason, due date and enrollment status.
- Training evidence. A separate record holds completion, certificate location and expiration.
What to agree during setup
Choose who opens a checklist, who owns each task category and what evidence closes a task. Set course requirements by role and agree which enrollments are mandatory. Decide how completion from an external learning system is entered and checked. Review certificate expiry dates before the employee is assigned work requiring that competency.
Admin needs edit access to onboarding checklists and tasks; L&D Admin maintains courses, enrollments and training records. Agree which task categories need evidence and who receives a blocked task. Rehearse a delayed start: review the checklist dates, task due dates and enrollment due date together. Confirm that a completed course has a separate dated training record before treating a credential as current.
Check the handoff on an actual case
For an accepted hire with a future start date, Admin connects the employee and onboarding checklist, then checks that IT, Payroll and Manager tasks have named assignees and due dates. L&D Admin enrolls the employee in a required course and checks its due date. When the course is completed, L&D Admin retains a training record with completion and expiration dates. A blocked onboarding task remains visible to its owner until it is resolved; checklist completion should reflect the actual task states.
For a new hire with a delayed start, adjust the checklist dates and inspect each task’s owner and due date. Admin records checklist and task changes; L&D Admin manages the course enrollment and training evidence. A completed enrollment alone does not establish the certificate expiry. Check the dated training record before relying on the competency for work assignment.
