What you can do
Put dated leave requests and weekly hours beside the employee record that owns them
Employees can record a leave request with start and end dates, a leave type and an approver. Leave balances distinguish accrued, taken and pending amounts as of a date. A timesheet groups weekly time entries, including regular, overtime, double time and on call hours. Approval status is held on the request or timesheet, so Payroll Admin can distinguish submitted work from approved work.
How the work is organized
- Request. Employee enters dates and type; the approver compares the request with the dated leave balance.
- Weekly hours. time entries hold each day’s hours and category under a Timesheets header.
- Pay input. Payroll Admin checks the Approved state and period before using leave or hours in pay review.
What to agree during setup
Agree the leave types, country and employee class rules before entering balances. Decide who checks documentation when a leave type requires it. Name the approver on every request and timesheet. Set a weekly cutoff that gives the pay team enough time to review approved hours. Make sure the source of employee schedules is understood when managers plan coverage.
Employee can enter leave and weekly hours, while Payroll Admin can read the submitted records for pay. Agree who is named as approver on each request and timesheet and how Admin records a decision when needed. Rehearse an overlapping leave request and overtime entry across a pay cutoff; compare the underlying dates with the approved status before handing anything to Payroll Admin.
Check the handoff on an actual case
Take a leave request spanning the last week of a pay period. The approver checks its dates, leave type and employee balance before marking it Approved. A colleague submits a timesheet with on call hours for the same week. The approver checks the underlying entries and total hours before approving the header. Payroll Admin should use the approved state and period boundaries when preparing statement lines. A rejected request stays visible with its actual state; it should not be counted as taken leave.
For leave that crosses a pay cutoff, check the balance as of the request date and separate the hours in each period. The Employee named as approver checks the weekly entries against the timesheet total. Payroll Admin uses only approved requests and timesheets when preparing the period. If a request is rejected, retain its actual state and revisit the balance before a new submission.
