What you can do
Prepare each pay period from the right calendar, employee population and approved input
Payroll calendars define the entity, country, currency, frequency and cutoff. A payroll run holds a period, pay date, type and status. Its pay statements identify each employee, gross pay, deductions and net pay; statement lines identify earnings, deductions and tax categories. Tax filings link a jurisdiction and run to a due date, amount and filing state.
How the work is organized
- Calendar. Payroll Admin checks entity, country, currency, frequency and cutoff for the employee group.
- Run and statements. Keep a run’s period and status beside each employee statement and its earning, deduction and tax lines.
- External result. Record payment and tax filing confirmation only after their owners verify the action.
What to agree during setup
Agree the employing entity and calendar for each employee before the first run. Review pay grade, base salary and currency, plus current benefit enrollments, approved time and leave. Decide who checks a run, who may approve it and when posting or payment may be recorded. Tax filing and bank transfer arrangements need their own connection and owner.
Payroll Admin maintains runs, statements and filings, while CHRO / VP People can read the results. Agree who reviews gross and net totals and who records the decision on the run. Walk through one changed overtime amount from its approved timesheet to its statement line. Keep bank payment and tax filing confirmation with their respective external owners before changing the related state.
Check the handoff on an actual case
For a monthly run, Payroll Admin checks the calendar cutoff and selects the correct period and pay date. The team compares the employee count with the eligible workforce, then inspects a statement whose overtime and benefit deductions changed. The named approver reviews gross and net totals before the run moves to Approved. After posting, Payroll Admin checks the filing row for the relevant jurisdiction and retains the confirmation reference when the authority accepts it. The paid state should follow the actual payment event.
For a correction run, identify the affected employee and compare the new statement lines with the earlier period. Payroll Admin checks the run type, currency and calendar before recording approval. The run’s paid state follows confirmation from the payment service. A filing has its own due date and confirmation reference; inspect that record separately from the payroll run.
