What you can do

Use dated cycles, goals and reviews to make employee development decisions traceable

A performance cycle defines its type, opening and closing dates, review due dates and calibration date. Goals belong to an employee and cycle, with a weight, due date, progress and final rating. Reviews connect the subject, reviewer and cycle, and record type, narrative, rating and status. The separate records allow managers to follow an employee goal without treating it as the review decision itself.

How the work is organized

  • Cycle. Admin sets the review window, due dates and calibration date.
  • Goals. Employee records goals for the cycle; HR Business Partner checks the subject and cycle links.
  • Review. HR Business Partner maintains the reviewer, narrative, rating and release state.

What to agree during setup

Agree who starts a cycle, who acts as reviewer and when self and manager reviews are due. Set a consistent rating interpretation before calibration. Give reviewers the actual goal and cycle context before asking them to submit. Decide who may release a review and how the employee acknowledges it.

Admin maintains the cycle record, HR Business Partner maintains reviews, and CHRO / VP People has read access for oversight. Confirm the reviewer for employees who transferred during the cycle. Rehearse a submitted manager review against the employee’s dated history, then check who makes the calibration decision and who records Released and Acknowledged on the review.

Check the handoff on an actual case

Take a midyear cycle for an employee who recently transferred. HR Business Partner checks the subject, reviewer and cycle dates before work begins. The reviewer reads the current goals; HR Business Partner records the narrative against the right employee. After submission, the team uses the calibration state to resolve the rating before releasing it. An acknowledgement records the employee response to the released review. The old manager remains visible through employment history when the handoff is checked.

For the transferred employee, compare the review’s subject and reviewer with the current employee record and the dated transfer. HR Business Partner checks that goals belong to the same cycle before recording the review. CHRO / VP People can inspect the submitted rating, while HR Business Partner records the calibration and release decision. The employee can read the released result.
