What you can do
Show the material behind the claim
A credential packet can carry a CME credit figure, required credits and a primary-source evidence reference. The activity detail sits underneath it. Each CME activity can record a description, date observed, completion date, credit category, credit quantity, license details, source reference and outcome. This lets the reviewer inspect the individual activity rather than relying on the packet total alone.
Evidence documents are linked to the same packet. Each document can carry a title, attachment, document date, external reference and verification result. A named verifier can be recorded. The document is the item reviewed; the verification flag records the team’s conclusion about that item.
How the work is organized
- Activity detail. A coordinator records each CME activity against its parent packet with dates, credits and source reference.
- Document trail. An attached document stays linked to the packet and keeps its external reference for later review.
- Visible outcomes. An activity can be Pending, Accepted or Rejected while the packet continues through its own review status.
For example, a clinician may submit two completed courses toward a license renewal. The coordinator records each completion date and credit amount separately. If one activity is rejected, its outcome remains visible; the coordinator can add a follow-up action and seek corrected evidence without hiding the accepted activity.
What to agree during setup
Agree which source reference is sufficient for each credential requirement and who verifies an attached document. Set conventions for credit categories and units so a reviewer can compare like with like. If an external training provider or issuing body is involved, decide how the team receives the document or confirmation and who records that result.
Agree how a revised activity affects a packet revision. The person making the review decision needs to know exactly which credits and documents were present at that time. Decide whether a document date or a course completion date controls renewal timing for the organization.
Check the handoff on an actual case
Use a packet with a required credit figure and at least two CME activities. Record a completion date, credit amount and source reference for each activity. Attach the source document and ask the designated verifier to check the external reference. The reviewer should be able to compare the accepted activity detail to the packet figure and record a decision for the intended revision.
Then mark one activity Rejected and open a follow-up action. The coordinator should see the unresolved action and the reviewer should still see which item was rejected. This rehearsal makes a credit gap visible before the packet is treated as Current.
What your team sees
- CME activities for review — Activity outcome, credits and source reference appear alongside the parent packet.
- Evidence awaiting verification — Documents needing a verifier remain in a focused queue.
