What you can do
Connect learning to the staff record
Courses provide a catalog of training content, including category, delivery method, duration, competency and whether the course is mandatory. Course enrollments tie a course to an employee and record the assignment reason, due date, completion date, score and status. Training records preserve a completed item with provider, certificate link, completion and expiration dates, competency and validity status.
CME activities remain the detailed evidence for a credential packet. The learning records can help the coordinator find a course completion, while the packet’s activity and document records carry the evidence reviewed for that credential. This distinction makes a renewal review easier to follow.
How the work is organized
- Course assignment. Learning Coordinator enrolls the employee and tracks progress through Enrolled, in progress and Completed where appropriate.
- Durable completion. A training record retains the provider, completion date and certificate reference after a course closes.
- Absence context. Leave requests show approved time away with employee, leave type and start and end dates.
A nurse completing a mandatory course may receive a training record and a CME activity on a credential packet. The coordinator checks the completion date and credit category before using the activity in a review. If the nurse has approved leave during the renewal window, the manager can see the absence dates when arranging follow-up.
What to agree during setup
Agree which courses count toward each credential requirement and which outside activities require a separate source reference. Decide who records a training completion and who checks its certificate. Course status alone should not replace the evidence review decision on a credential packet.
Set conventions for leave requests and manager decisions. A leave request can move from Draft to Submitted and, after a person approves it, to Approved. The HR team should decide how an approved absence affects follow-up timing and who covers credential work during that period. Leave balances show accrued, taken, pending and available amounts by employee and leave type.
Check the handoff on an actual case
Enroll an employee in a course with a due date. Record a completion and inspect the training record’s completion and expiration dates. Add the corresponding CME activity to the credential packet with a source reference, then ask the reviewer to inspect that activity and its supporting document. The reviewer should be able to distinguish the course completion from the packet decision.
Create a Submitted leave request for the same employee with start and end dates. Have the Department Manager record the decision and check the request schedule. The credentialing coordinator can then assign an action to someone available during the absence while retaining the employee’s original packet.
What your team sees
- Training completion schedule — Learning Coordinator reviews course due dates, completions and status.
