Employee changes and separation

Retain lifecycle events, route compensation exceptions and inspect departure handoffs.

Step by step

  1. Record the change HR Business Partner

HR Business Partner (HRBP) records the employee's lifecycle event, effective date, and previous and new position, manager or salary in employment history. Retain the reason and the person recording it. A promotion, transfer, compensation change or manager change needs the correct current employee context rather than unrelated edits made directly on the profile.

    • Capture the lifecycle event and effective values
    • Updates Employment history, Employees, Positions
  2. Decide a compensation exception CHRO / VP People

CHRO / VP People approves an out-of-band compensation change through the workflow. In-band compensation can flow through HR Business Partner (HRBP). Check the linked band and currency before treating an amount as within range; an unresolved comparison requires correction before application.

    • Decide the out-of-band change
    • Updates Employment history, Pay grades, Employees
ApprovalA person approves before the work moves on.
  3. Inspect the applied lifecycle event HR Business Partner

HR Business Partner (HRBP) reads the employee record and employment history together after the lifecycle workflow applies the event. Starting a leave of absence changes Active to On leave; returning restores Active. Inspect the recorded effective values and any retro-pay flag with Payroll Admin rather than claiming an automatically paid correction.

    • Verify the current record and retained history
    • Updates Employees, Employment history
  4. Record separation HR Business Partner

HR Business Partner (HRBP) uses the lifecycle route to mark the employee Terminated. The termination workflow writes employment history and creates an Offboarding checklist with assigned tasks. Keep the earlier employment history available for authorized follow-up and any later Rehire event.

    • Record termination and start departure work
    • Updates Employees, Employment history, Onboarding checklists
  5. Follow departure work Payroll Admin or HR Business Partner (HRBP)

Payroll Admin follows the final-pay task and its payroll run link. HR Business Partner (HRBP) coordinates scoped access, equipment and closure tasks. Evidence and completion dates explain task progress; an identity-provider request is separate from confirmed revocation at the external service.

    • Track task evidence and final-pay handoff
    • Updates Onboarding tasks, Payroll runs
  6. Reconcile unresolved outcomes CHRO / VP People

CHRO / VP People inspects remaining checklist work and named task assignees. Hold blocked final-pay or access work visible until the responsible owner confirms the result. Inspect settlement and connected-account confirmations beside the recorded termination.

    • Keep unresolved departure work visible
    • Updates Onboarding checklists, Onboarding tasks

Where it usually breaks

And how to keep it from happening.

  • From/to references must resolve to the intended employee arrangement.
  • Read-only executive oversight does not permit unrestricted salary editing.
  • Confirm final pay against the linked payroll run and the payment result.
  • Checklist completion cannot substitute for confirmed external access outcomes.
