How a HRMS with AI Chatbot rollout works

Start with a small employee population and rehearse the approvals before release.

  1. Set owners

Name the HR, recruiting, payroll and learning operators and assign their roles. Review the approval path for requisitions, offers, leave, time and pay.

  2. Prepare structure

Enter departments, positions, pay grades, locations, calendars, leave types, benefit plans and courses.

  3. Move people

Import employees with their current assignments and dated employment history. Check a sample across entities and countries.

  4. Rehearse work

Follow one candidate to an offer, one hire through onboarding, one leave and timesheet decision, and one payroll run to close.

  5. Release by cycle

Begin with a defined pay period and named owners. Reconcile employee statements, filing follow-up and access before expanding.

What the customer provides

Provide the current worker register, organization structure, pay calendars, salary bands, leave rules, benefit plans, course catalog and the people authorized to approve each decision. Bring a small set of real historical cases for testing: a transfer, a rejected leave request, an overtime timesheet, an approved offer and a pay correction. The team should agree how dates and currencies are represented before import.

Changing it afterwards

Record who requested a correction and which employee, period or review cycle it affects. Keep prior employment history and past pay statements traceable. Recheck role access after a new department, entity or calendar is added. For connected systems, reconcile acknowledgements before treating a local status as a completed external action. See the data model for import order.
