What you can do
Learning in daily work
Courses describe the learning offer, its category, delivery method, mandatory flag and validity period. Course enrollments track each employee assignment, due date, progress and outcome. Training records retain the completed title, provider, completion date, possible expiration date and certificate URL. L&D Admin can work from current assignments to credentials requiring follow-up.
L&D Admin maintains the course catalog, employee enrollments and completed training records. An enrollment carries assignment reason, due date and outcome. A training record carries completion date and, when applicable, expiration date and certificate link. The expiration worklist helps L&D Admin find records needing review; course completion still needs a confirmed result.
How the work is organized
- Choose a course. L&D Admin checks the course category, mandatory flag and delivery method.
- Track an assignment. L&D Admin links an employee and follows the enrollment outcome.
- Retain completion. L&D Admin records the completed learning and checks any expiration date.
What to agree during setup
Agree which courses are mandatory for each role, how completion is confirmed, and how an external learning result is received. Set a review habit for expiring training records and distinguish a course enrollment from a completed credential.
Decide how a training result is confirmed before L&D Admin marks an enrollment Completed. Agree who supplies the certificate link and how validity is calculated. A course marked mandatory does not by itself identify every assigned employee; review the actual enrollments for the target population. Test a cancelled enrollment and an expired training record as separate cases.
Check the handoff on an actual case
A worker completes a safety course. L&D Admin checks the course enrollment outcome, records the completion date and provider, and sets the training record expiration when applicable. As expiration approaches, the record appears in the follow-up view for review.
L&D Admin opens Training expirations and checks the employee, course and completion date. If the certificate date is wrong, L&D Admin corrects the training record before using it for follow-up. Compare the enrollment outcome with the retained training record. A completed enrollment alone should not be treated as a current credential without its corresponding dated record.
What your team sees
