What you can do

Keep training tied to the employee

L&D Admin manages courses, course enrollments and training records. A course has a category, delivery method, duration, competency and whether it is mandatory. An enrollment links the course to an employee, explains why it was assigned, carries a due date and follows a completion status. A training record preserves a completed item with provider, date, certificate reference, expiration date and current validity state.

The two records answer different questions. Enrollment shows what the employee was asked to do and whether they completed it. Training records show the durable completion that the organization can review later. A completed enrollment should be checked against the corresponding training evidence when a credential matters for a position or assignment.

How the work is organized

  • Catalog. Courses define what can be assigned, how it is delivered and whether it is mandatory.
  • Assignment. Course enrollments carry the employee, reason, due date, progress and score.
  • Evidence. Training records hold the completed title, provider, dates, certificate URL and expiration state.

What to agree during setup

Choose the active courses for the first team and check category and delivery for each. Confirm which assignments are role requirements, mandatory, employee selected or manager assigned. Set a due date that L&D Admin can realistically monitor. If a course leads to a certification, agree the validity period and the evidence required before a training record is treated as valid.

An external learning platform may supply completion data, but its connection and matching rule need separate setup. Decide which source provides the actual completion date, score and certificate URL. An expired record is a useful signal for follow-up; a changed date should be supported by new evidence. L&D Admin should also decide how cancelled or failed enrollments appear in a worker’s history.

Check the handoff on an actual case

A new employee needs a safety course before taking a field assignment. L&D Admin checks that the course is active and marked mandatory, then creates an enrollment for the employee with the role requirement reason and due date. The employee completes the learning activity. L&D Admin verifies the result, marks the enrollment completed and records the completion date, provider and certificate on a training record. If the credential expires, the record shows the expiration date and current status for follow-up.

Now rehearse a failed completion. The enrollment remains a failed attempt rather than a valid training record. Reassignment can be made deliberately, with a new due date, while the earlier result remains understandable. Compare the employee reference on the assignment and the training record to prevent another worker’s completion from being attached to this person.

What your team sees

  • Course assignments due — Enrollments still underway, with employee, reason and due date.
  • Training renewals — Records whose validity is approaching expiration or already expired.
