- Multi-location teams
Multi-location teams
A multi-location employer can give HR a common roster while retaining the location, department and manager on each employee. Leave requests and time entries remain tied to the same person when their work location changes. The useful starting point is the employee record, with the owner and period carried into each operational question. Let the person who will maintain the record review it with the team that consumes it.
How HRMS with Employee Self-Service is set up for you
People record
Confirm the organization, department, position, location and manager on the employee before a request is submitted.
Employee work
Let employees use their own leave, time and personal statement records within their assigned access.
Decision owner
Give each submitted case a named approver or reviewer and a clear way to return corrections.
Evidence
Keep request documents, dated entries or statement lines linked to the case they explain.

Use one office and one remote location. Include a transfer and a leave request that spans the change. Confirm who records the new assignment and who reads the prior event. Keep the pilot small enough for HR Business Partner (HRBP) and Payroll Admin to compare the source record with the downstream result. Include a routine case and a correction. A status alone should not be the end of the review: the owner should inspect its linked employee, date and detail.
Agree the effective dates of employment and benefit information before the pilot cycle. If an external carrier, payment or tax service is involved, name the person who confirms the returned reference. Review employee access with an actual employee account and operating access with the people who approve the work.
The first completed cycle should leave an understandable trail. A colleague should be able to open the employee, find the request or period, read its current state and follow the linked details to the decision. Use that review to settle ownership and setup choices before adding more locations or groups.
