What you can do

Keep the work anchored to a person

The employee request carries the employee, organization, request type, owner, submitted date and status. The request type distinguishes Leave, Expense and profile change. Requested days, claim amount, pay statement reference and policy reference carry the details relevant to the case. Request documents provide line details tied to the parent request.

A review decision records the reviewer, source revision, decision and reason. Evidence documents retain attachments and a verification state. A follow-up action gives a named person and due date to missing evidence or corrections. State history preserves the actor, revision and status movement. An external reconciliation connects a request to expected and confirmed amounts when an external amount must be compared.

How the work is organized

  • Check the source. Employee records the request type, employee, organization and owner before submission. HR Business Partner (HRBP) checks the current revision and policy reference alongside detail items and evidence.
  • Record the decision. The reviewer in People records a decision for the current source revision. A returned decision names the needed correction; the owner keeps follow-up assigned until its resolution is recorded.
  • Keep the trail. For an expense, Payroll Admin compares expected and confirmed amounts. A difference remains open even if the request itself has moved to a later status.

What to agree during setup

Agree who owns each request type, which People record can review a case and what evidence is needed. Decide when an expense amount needs external confirmation and who records that result. A returned decision should point to a specific correction, and a new revision should receive its own review before completion.

Submit an expense request with a claim amount and attached evidence. Return it for a missing detail, revise it and record a new decision for that revision. Inspect follow-up resolution and reconciliation before completion.

Check the handoff on an actual case

Use an expense request with a claim amount and supporting document. Submit it with an owner, inspect the evidence and record a decision against the current revision. If a document is missing, assign a follow-up action to a named person. Compare the expected amount with the confirmed amount, then close the request only after the decision and follow-up are resolved. Read the state history to confirm who changed the case and when.

Have the next person find the same employee and period, explain the current status, and identify the source detail behind it. Correct a mismatched reference before the case moves forward.

What your team sees

  • Requests awaiting review — HR sees submitted cases with their owner and current revision.
  • Request status board — HR follows Draft through Completed by request type and owner.
