What you can do

Onboarding and lifecycle

Once a hire has an agreed start, HR Business Partner needs a current employee record and an accountable joining checklist. The checklist distinguishes onboarding, offboarding, transfer and rehire work. Its tasks carry an assignee, category, due date and status, so equipment, payroll and manager work can be followed independently.

Employment history is the dated record for Hire, Promotion, Transfer, Manager Change, Leave of Absence Start, Leave of Absence Return, Termination and Rehire events. The current Employees row answers where a person sits now; the event row explains a change. Keep both in view when checking an organization move.

How the work is organized

  • Checklist. Link the transition to the employee and keep its start and target completion dates.
  • Tasks. Give each task a real assignee and distinguish Pending, in progress, Blocked and Completed.
  • Employee change. Preserve the event type, effective date and from and to references in employment history.

What to agree during setup

Decide which task categories apply to each type of transition, who may complete them and what evidence the team needs. A completed task should reflect the assigned work, rather than a general checklist percentage alone. Agree who handles blocked work and what information the employee can see.

Define when a new hire is entered into Employees and when the status becomes Active. The offer start date, checklist start date and employee hire date are related facts, but each record answers a different question. The people team should reconcile them for a pilot hire before using them in reports.

Check the handoff on an actual case

Take a candidate with an accepted offer. Confirm the candidate, position and start date, create the employee record, and attach a Hire event. Open the employee’s checklist and assign a due date for each relevant task. Have Admin record one completed task with evidence and another obstacle as Blocked. Admin can follow both in the assigned-task view.

Now move that employee to a new manager. Record the Manager Change event with the from and to manager, then check the employee detail. The earlier event remains the explanation for the current reporting relationship. Check the effective date before the changed manager appears in a period report.

What your team sees

  • Incomplete onboarding — Admin tracks employee checklists still pending, overdue or in progress.
  • Assigned onboarding tasks — Admin follows task assignees, due dates and blocked work.
  • Active employee register — HR Business Partner checks the employee’s current manager and position after a move.
