What you can do
Recruiting and offers
A requisition names the position, department, location, hiring manager and recruiter for a hiring need. Applications connect candidates to that requisition. Interviews preserve the scheduled conversation, interviewer, recommendation and feedback. An offer then carries the salary, start date and approval state for the chosen candidate.
Recruiter maintains the pipeline and Hiring Manager has visibility into its records. Admin records the offer decision after the designated reviewer checks the terms. Keep each candidate’s application tied to the particular requisition so one person considered for two positions does not turn into one ambiguous hiring decision.
How the work is organized
- Opening. Keep planned headcount, target start and the named owners on the requisition.
- Selection. Use application stage and interview recommendation to distinguish a screened candidate from an offer candidate.
- Terms. Keep offer salary, currency and start date beside its approval and signature dates.
What to agree during setup
Agree who submits a requisition, who reviews it before Admin records approval and when recruiting may begin. A requisition marked Draft, pending approval, Approved and Open describes different work. The team should use the selected value consistently when assigning recruiters or showing an opening to candidates.
Agree how an out-of-band offer is reviewed against the position’s pay grade. The position, grade and offer currency need to be checked together. Also settle when an offer counts as accepted: Sent, Accepted and signed at carry different information.
Check the handoff on an actual case
Follow one open requisition for an engineering position. Add a candidate and an application marked Applied. Complete an interview, record its recommendation, and then move the application to the next recorded stage. If the candidate is rejected, use the recorded reason and date. For the selected candidate, compare the offer salary with the position’s pay grade and have Admin check the terms and record the decision. Keep the reviewer and decision date on the offer.
Before marking the requisition Filled, check the offer’s accepted state and its link back to the same application, candidate and position. This prevents a report from counting a sent offer as a hire.
What your team sees
- Requisitions awaiting approval — Recruiter checks the position, headcount and hiring manager before Admin records the decision. A request outside the hiring plan needs an explicit review.
- Recruiting pipeline board — Follow each candidate’s application stage and associated requisition.
- Offers awaiting approval — Recruiter brings pay terms and the position’s grade to the designated reviewer and Admin.
