What you can do

Make case access and clinical authority traceable

People records identify staff and clinicians, including their user account, role title and active state. A case can name its assigned investigator. An investigation also names its investigator, while a team assignment records a person’s access purpose and effective period for the case. Together these records show recorded ownership and why a person was included during an investigation.

The Clinical Governance Administrator maintains clinician privilege records. Each privilege identifies its type, license number, issuing authority, verification evidence and effective dates. A privilege can be Pending, Verified, Suspended or Expired. The record gives the Clinical Reviewer a place to inspect the basis for a clinician’s authority when evaluating investigation evidence or a treatment dispensation.

How the work is organized

  • People. Link a staff or clinician record to a user account and keep its active state current.
  • Assignments. Record a case access purpose and dates for each investigator included in the team.
  • Privileges. Keep the verification document and validity period with the named clinician and privilege type.

A case may change hands during a long investigation. End the earlier team assignment and create the next effective assignment with its own purpose. The case and investigation investigator references then show operational ownership, while team assignments preserve the recorded team history.

What to agree during setup

Decide who may create a person record and who may mark a privilege Verified. Agree how verification evidence is collected and how an expired or suspended privilege is noticed before work is assigned. The relevant dates matter as much as the status: a Verified record with an old effective end date should prompt review.

Choose a consistent language for access purpose. When the team uses a temporary investigator, record the effective period rather than relying only on a current case owner. Rehearse how the coordinator, governance administrator and clinician communicate a change of assignment. Check configured role permissions separately when deciding who may open or change a record.

Check the handoff on an actual case

Create a person linked to a user, verify the person’s privilege evidence, and add an active team assignment for a case. Assign that person as investigator on the case and investigation. Ask the Clinical Reviewer to locate the privilege record and its effective dates while reviewing the episode. Then end the assignment and confirm that the next investigator can be recorded without erasing the earlier access purpose. Include an expired privilege in the rehearsal so the governance administrator can spot it.

What your team sees

  • Privilege verification — Privileges awaiting examination of license and supporting evidence.
  • Active case consent — Cases with their current assigned investigator alongside consent position.
