Reserve eligible stock

A supervisor decision establishes the intended scope. The reservation workflow still has to check the actual lot and the stock already held for other demand. Approved demand cannot create additional supply or replace another request's valid claim.

Step by step

  1. Inspect demand Inventory Clerk

Inventory Clerk opens the approved request and confirms the item, requested units and intended location. Resolve any base-unit ambiguity before requesting the hold. Ask the supervisor to clarify changed demand before acting on a different quantity.

    • Confirm authorized units and item
    • Updates Stock requests, Stock items
  2. Inspect the lot Inventory Clerk

Inventory Clerk checks the lot's status, quantity on hand, expiry date and storage location together with existing Held stock reservations. The selected lot must be eligible for the action, and its free quantity excludes active held claims.

    • Determine free eligible quantity
    • Updates Stock lots, Stock reservations
  3. Create the hold Inventory Clerk

Inventory Clerk runs the reservation workflow with the request and lot identity. A successful operation creates the claim and records a Recorded operation receipt. A quantity exceeding free eligible stock is refused and records a Failed receipt with the shortfall.

    • Record a claim or a refused operation
    • Updates Stock reservations, Operation receipts
  4. Follow the outcome Inventory Clerk

Inventory Supervisor investigates a refused claim before changing authorized scope. Inventory Clerk inspects the recorded hold and follows the approved receive-or-move action when that work is required. Check its movement and receipt separately when explaining the resulting lot balance.

    • Resolve exceptions and next action
    • Updates Stock requests, Operation receipts

Where it usually breaks

And how to keep it from happening.

  • A positive lot balance is used without subtracting Held reservations.
  • Reservation expiry date is treated as proof that a scheduled release has already run.
  • A reservation is mistaken for a posted movement or confirmed dispatch.
  • A second operation key is used to repeat a request-and-lot claim without reconciling the earlier result.
