What you can do
Follow the working record
Instructor records attendance for a learner and a specific class session. The session connects back to its course, while the attendance entry retains its own status and recorded date. That distinction lets the team inspect an absence without assuming that every learner in the course missed the class.
How the work is organized
Present, Absent and Excused are separate attendance outcomes. Recording an excuse does not erase the class or imply completion of an assessment. The Education Administrator can examine exceptions alongside the session that was delivered.
- Session. Use the dated class session as the event being attended, including its course and room.
- Learner. Record presence separately for each learner on that session.
- Exception. Keep Absent and Excused visible for follow-up without changing other learners’ entries.
What to agree during setup
Agree when instructors record attendance, how an excused absence is established and who checks corrections. Check that each entry points to the intended learner and session; a name alone is a weak substitute for those record links.
Instructor and Education Administrator agree when attendance is entered after delivery and how an excuse is checked. Use a real session and learner pair to test corrections, especially when a course has several sessions.
Check the handoff on an actual case
Take a delivered session with two learners. Record one Present and one Excused, then open Attendance exceptions. Confirm that the exception points to the delivered session and the right learner, while the present learner remains on the attendance record without appearing in the exception list.
Instructor opens the delivered session before entering attendance. Education Administrator then uses Attendance exceptions to inspect the learner, session date and recorded status. Correct a mistaken learner or session link before relying on the exception list.
Review a learner’s attendance in the context of the class that actually met. A status on its own does not say which session it describes. Where a learner has several classes in the same course, open the session reference and recorded date before asking the instructor to correct an absence or explain an excuse.
What your team sees
- Attendance exceptions — Absent and Excused entries to check against the class session.
- Delivered sessions — Classes whose learner attendance is ready to inspect.
