What you can do
Follow the working record
A certification requirement names a role and certificate, and connects to an enrollment through its enrollment link. An award references a requirement and a person from People. The award can carry its date, expiry date and certificate attachment, giving the team a concrete record to inspect when following certification work.
How the work is organized
The requirement and award serve different purposes. The required flag marks whether the named certificate is mandatory for that enrollment context; The renewal interval records the stated renewal interval. The award records a particular person’s certificate evidence and dates.
- Requirement. Link the named certificate and role to the enrollment it applies to.
- Person. Select the staff or instructor record that actually received the award.
- Evidence. Keep the award date, expiry date and certificate attachment on the award.
What to agree during setup
Agree who records requirements for a course enrollment, who checks the role and certificate names, and how the team verifies an attachment before relying on an award. Match the award’s Person to the intended staff or instructor record.
Instructor and Academic Reviewer agree how to check the role name, required flag and renewal interval against the enrollment. For an award, confirm which People record represents the recipient and what attachment is acceptable evidence.
Check the handoff on an actual case
Take an active enrollment that calls for a named certificate. Add its requirement, then inspect an award linked to that requirement and the intended person. Check the award date and expiry date together with the attachment; a requirement alone is not an award.
Academic Reviewer opens the requirement through its enrollment before inspecting the award. Check the recipient in People, then compare the award dates and attachment with the named certificate. A requirement for another enrollment needs correction before the award can be relied on.
Review the enrollment behind a requirement before interpreting the award. A requirement records what a particular enrollment calls for, while the award records what a person received. The person on an award is drawn from People, which also holds instructors and staff. Confirm that this is the intended person before relying on the certificate attachment.
