What you can do
Follow the working record
The Education Administrator names the course, sets its capacity and date range, and assigns an instructor from People. Individual class sessions then carry the delivery date range and room. This lets the team inspect a course plan alongside the classes people are expected to attend.
How the work is organized
A course can be Planned, Open, Active, Completed or Cancelled. Each session has its own Scheduled, Delivered or Cancelled state. A completed course and a delivered session answer different questions; preserve both statuses when reviewing a cohort.
- Course. Keep the course name, date range, capacity and assigned instructor together.
- Session. Give each class its own start, end, room and delivery state.
- Change. Mark a cancelled session on that session; keep the course state separate.
What to agree during setup
Agree the point at which a planned course opens for enrollment, who changes class times and rooms, and who marks a session delivered. Review the instructor reference and the dates on each course before placing sessions on the calendar.
Education Administrator and Instructor review a course calendar together before intake opens. Agree who changes a session room or time and who records delivery. Check that the instructor reference points to the intended person.
Check the handoff on an actual case
Take an open course with an instructor and two scheduled sessions. Check both session date ranges and rooms against the course plan, then record delivery on the class that occurred. If a class is cancelled, mark its session Cancelled without treating the entire course as cancelled.
Instructor compares the course range with each scheduled class before delivery. After a class, check that the delivered session has the right room and dates. If one session is cancelled, confirm the remaining sessions and course retain their correct states.
Before the first class, ask the instructor to open the course and then the individual session. The course date range frames the program; the session dates and room tell the instructor where a particular class is delivered. If a session moves, update that session and make sure the people following the course can see the current plan.
