What you can do

Follow the working record

A fee belongs to a learner and carries a description, due date, amount, paid amount and status. Fee Coordinator uses that record to see which charges are drafted, issued, partly paid, paid or voided. The learner link keeps each charge attached to the person responsible for it.

How the work is organized

Draft, Issued, part paid, Paid and Voided remain distinct. The paid amount provides the recorded payment total while the charge amount retains the charge. Reviewing the two together gives the coordinator a practical follow-up list without substituting a status label for the money entered.

  • Charge. Keep the learner, description, due date and amount on one fee.
  • Payment entry. Update the paid amount when a payment is confirmed.
  • Follow-up. Use Issued and part paid records to identify charges needing review.

What to agree during setup

Agree who issues a draft fee, who enters paid amounts and when a fee may be voided. Check the learner reference and due date before issuing a charge. If payment collection happens elsewhere, arrange a reviewed handoff of the amount actually received.

Fee Coordinator and Education Administrator agree who can issue, update or void a fee. Before recording Paid, compare the total paid amount with the charge. Agree how confirmed payments reach the fee record if collection happens elsewhere.

Check the handoff on an actual case

Take a fee issued to one learner. Enter a partial paid amount and mark it part paid, then inspect Open fees. When the remaining amount is recorded, compare paid amount with Amount before marking Paid. Keep any voided fee distinguishable from one that was settled.

Fee Coordinator opens Open fees and compares an issued charge with its paid amount. Record a partial payment and confirm it remains part paid. After another confirmed payment, check the total against the charge before marking Paid. Keep a Voided charge out of settled work.

A fee can remain issued after its due date, and a partly paid fee may still need attention. Read the due date with the amount and paid amount rather than treating the status alone as the balance. When the coordinator follows up, keep the charge tied to the same learner so later course activity does not obscure the original obligation.

What your team sees

  • Open fees — Issued and part paid charges showing amount and paid amount.
  • Draft fees — Charges to check before they are issued.
