Clinics with lab and pharmacy handoffs

When a visit produces a specimen or medication dispensation, staff record the accession or lot and tie it to the encounter. The reviewer can inspect the processing state alongside the visit evidence. If another lab or pharmacy system carries the detailed transaction, establish a clear handoff.

How IVF / Fertility Clinic Mgmt is set up for you

Encounter anchor

The Clinical Coordinator links each visit to its patient and clinician before specialty work starts.

Specimen state

The Licensed Clinician records type, accession, collection date and the current processing state.

Dispensation detail

The clinician records medication, lot, quantity, unit and authorizing person on the visit.

External handoff

The clinic agrees who compares these records with its lab or pharmacy system when those systems are used.

When a visit produces a specimen or medication dispensation, staff record the accession or lot and tie it to the encounter. The reviewer can inspect the processing state alongside the visit evidence. If another lab or pharmacy system carries the detailed transaction, establish a clear handoff.

A clinician collects a specimen during a consultation and records its accession on that encounter. The specimen moves through Collected and Received as staff confirm each event; a Rejected specimen stays distinct from Tested. A medication dispensation for the same visit carries its lot, quantity and authorizer. The Clinical Reviewer reads both records from the encounter. If another system processes the material, the clinic assigns a person to compare its records with these visit entries.

Choose one encounter type that uses a specimen and one that uses a dispensation. Test the accession, lot, quantity and authorizer before defining any external connection. Use the first operating cycle to confirm who owns each status change and how staff handle an exception. Keep billing separate from care documentation: a charge attaches to the encounter, while a payment belongs to the patient. If your team uses another billing, lab or pharmacy system, decide the data connection and reconciliation owner during implementation.
