Receive and move stock

An appointment tells the kitchen when a load is expected. This process follows what actually arrived into an approved stock request and a recorded inventory effect. Keep external purchasing approval with the purchasing team, and resolve the received quantity in the item's agreed base unit before the clerk requests execution.

Step by step

  1. Identify arrival Inventory Clerk

Inventory Clerk records the vendor, receiving bay and observed arrival date, then checks the linked appointment's location and time. Follow actual delivery progress from Scheduled to Arrived and Unloading; a schedule entry cannot establish receipt of goods.

    • Record observed load and appointment context
    • Updates Vendor deliveries, Delivery appointments, Storage locations
  2. Prepare request Inventory Clerk

Inventory Clerk selects item and location on stock requests, records the inspected quantity and required date, and retains attachment evidence. Route Draft work to Review with the current revision available to Inventory Supervisor.

    • Establish inspected quantity and current revision
    • Updates Stock requests, Stock items, Record attachments
  3. Review request Inventory Supervisor

Inventory Supervisor approves the current request scope through the applicable published decision action. Review decisions and operation receipts retain the outcome. Refuse stale revisions and requests already Executed or Cancelled; a replay of the stable decision key returns the established result.

    • Record approval of current scope
    • Updates Stock requests, Review decisions, Operation receipts
ApprovalA person approves before the work moves on.
  4. Execute stock action Inventory Clerk

Inventory Clerk executes the Approved request. The workflow posts stock movements, applies signed quantity to stock lots' on-hand quantity and marks the request Executed with a Recorded receipt. The request-derived source effect key prevents another effect on retry.

    • Post the signed quantity once
    • Updates Stock requests, Stock movements, Stock lots, Operation receipts
  5. Verify completion Inventory Supervisor

Inventory Supervisor reconciles the posted movement total with the authorized request quantity. A mismatch writes a Failed operation receipt result and leaves the request unchanged. Auditor follows the evidence before accepting the handoff as reconciled.

    • Compare posted and authorized quantities
    • Updates Stock requests, Stock movements, Operation receipts

Where it usually breaks

And how to keep it from happening.

  • A vendor's pack quantity is used as the item's base unit quantity without checking the conversion externally.
  • Received on the delivery record is mistaken for evidence that a stock movement posted.
  • A repeated request uses another action identity and obscures the original result.
  • A failed reconciliation is cleared before the quantity difference is explained.
