What you can do
Treat each provider movement as a separate question
Financial accounts belong to counterparties and retain provider, external account identifier, currency and active state. A dated balance snapshot records the provider’s ledger and available amounts for one account. Reconciliation items identify individual provider movements by event identifier, occurrence date and amount. The Reconciliation Analyst uses these records to explain what happened on the account and which confirmed instruction, if any, corresponds to a movement.
A plausible amount alone is insufficient. To mark a movement matched, compare its amount with the confirmed instruction amount, its occurrence date with the confirmed date, and its account with the instruction’s account scope. If one of these differs, keep the item unmatched or mark it as an exception. A false match can hide a missing or duplicated provider effect, so the exception is useful work rather than an untidy list entry.
How the work is organized
- Account master. The provider account connects to a counterparty and an external account identifier.
- Balance point. A dated snapshot captures provider ledger and available balances.
- Movement. A reconciliation item carries the source event, amount, date, account and linked instruction.
Consider an instruction for a transfer whose provider movement appears the next day. Even if the amount is exact, the dates differ. The analyst keeps the movement open until the team understands that difference. If the provider supplies a corrected event, the original movement remains visible. The instruction, evidence and reconciliation item together give the reviewer a way to explain the resulting account position.
What to agree during setup
Choose which provider account identifiers and currencies the team will import. Agree how often snapshots arrive, which date is the provider’s effective occurrence date, and who investigates differences between ledger and available balances. The provider connection should preserve stable event identifiers so repeated imports do not appear as fresh movements. Define an exception owner and a review cadence before starting routine reconciliation.
The Independent Finance Reviewer should know when an item can be marked matched and when the evidence is still incomplete. The App Administrator maintains counterparty and organization scope. The Reconciliation Analyst owns the investigation, while the Auditor needs the original event and the eventual reasoned outcome.
Check the handoff on an actual case
Load a dated snapshot and two movements for the same account. Link one movement to a confirmed instruction with the same amount and confirmation date. Leave the second unmatched because its date differs, even if the amount is familiar. Then test a different amount and route it to exception. Compare the next snapshot with the previous balance and the movements; keep any unexplained variance in the review queue.
