Hospital collection teams
A collection team working beside clinical services can use encounter-linked specimens to trace which visit generated each accession. Notes and observations stay on the encounter, while follow-up tasks remain patient linked.
How Lab Information System (LIMS) is set up for you
Visit intake
The coordinator identifies the patient and records the encounter with its clinician and planned time. A returning patient gets a separate visit record.
Specimen collection
The clinician records the type, collection time and accession number against the right encounter. The receiving team can follow ordered, collected, received, tested or rejected processing states.
Care evidence
The note author and observation recorder remain attached to their own encounter records. Consent purpose and clinician privilege evidence give the reviewer context for the visit.
A collection team working beside clinical services can use encounter-linked specimens to trace which visit generated each accession. Notes and observations stay on the encounter, while follow-up tasks remain patient linked.
Start with a patient who has a scheduled collection visit. Check the patient number, consent purpose and clinician assignment. Collect a specimen and give it an accession number. Have another staff member find it using the accession, then open the linked encounter and patient. A second visit for the same patient should show a separate set of specimens.
Use an ordinary collection and a rejected specimen in the first rehearsal. The team should see who changes each status and what the next owner receives. Add a clinical note or measured observation only when it belongs to the visit. If follow-up is required, assign a patient task with a due date and a named person.
If the organization uses separate analytical or reporting systems, agree how staff hand off the accession and encounter context during implementation. Keep the specimen processing state in this app distinct from any findings or report handled elsewhere.
