What you can do
Keep the working record clear
A privilege record identifies clinician, type, license number, issuing authority, verification evidence, effective dates and state. The governance administrator manages it. Pending, verified, suspended and expired remain distinct for the people reviewing an encounter.
How the work is organized
- Verification evidence. The Clinical Governance Administrator maintains license, issuing authority, attachment and effective dates.
- Privilege state. Pending, Verified, Suspended and Expired describe the clinician’s recorded privilege.
- Review handoff. The Clinical Reviewer reads encounter evidence; the coordinator manages the encounter state.
The governance administrator checks a clinician license and evidence before marking a documentation privilege verified. When the effective period ends, the former verification is still part of the history. A reviewer inspects an awaiting-review encounter and its linked evidence, then hands the decision to the coordinator who manages the encounter state.
What to agree during setup
Agree which privilege type applies to the clinician’s work and what evidence the governance administrator reviews before recording Verified. Check the effective period and the person linked to the privilege. The reviewer can read the privilege but cannot manage it. A verification decision belongs to the governance administrator’s record, with the attached evidence available for later inspection.
Decide how the reviewer communicates an encounter decision to the coordinator. The reviewer has read access to encounters, notes, observations and specimens, while the coordinator manages encounter status. Do not treat a reviewer reading the record as an automatic state change. Rehearse an expired or suspended privilege and a visit waiting for review so both handoffs have clear owners.
Check the handoff on an actual case
Choose a clinician with a pending documentation privilege. Ask the governance administrator to inspect license number, issuing authority, evidence and effective dates, then record the verification decision. Have the reviewer open the same privilege and confirm they can read its state without editing it. Check a second privilege whose end date has passed before using it as current eligibility evidence.
For an encounter awaiting review, have the reviewer inspect its note, observation and specimen state. The reviewer tells the coordinator which evidence was checked; the coordinator records the encounter’s next status. Repeat with a draft note or rejected specimen and make the decision visible in the handoff rather than assuming the encounter status explains the evidence.
What your team sees
