Audit to owned finding

Take a scoped workplace audit through scored observations and accountable follow-up.

Step by step

  1. Plan the visit Quality Manager

Quality Manager defines the audit scope, planned date and auditor. Start the audit at Planned and move it to In Progress when the visit begins. Give the Inspector enough context to identify the physical area and apply the agreed scoring scale.

    • Define scope and assign the auditor
    • Updates Audits, People
  2. Record category observations Inspector

Inspector selects the audit and captures the 5S category, score and maximum score with an observation. The submission validates the selected audit and evidence before retaining the check. The description should identify the condition a later reviewer will examine.

    • Retain scores and observations against the selected audit
    • Updates Five s audit checks, Audits
  3. Review submitted evidence Improvement Reviewer

Improvement Reviewer evaluates the attributed submission under the responsibility agreed during setup. This evidence review is distinct from closing the audit. Later corrections retain successor evidence rather than replacing the original observation.

    • Review attributed evidence and preserve correction history
    • Updates Five s audit checks
  4. Assign the response Quality Manager

Quality Manager records actionable findings with the requirement, severity, owner and due date. The audit moves into Reporting while the team completes its findings. Record a finding's closure date when its response has been checked, and close the audit when reporting is complete.

    • Assign follow-up and retain closure dates
    • Updates Audit findings, Audits, People

Where it usually breaks

And how to keep it from happening.

  • Unclear scoring. Different maximum scores can make apparent comparisons misleading. Agree the scoring practice before the first visit.
  • Vague findings. An observation such as “untidy” does not explain the requirement or the condition to correct. Describe the actual area and item involved.
  • Lost corrections. A later clarification must preserve the earlier submission's evidence so the reviewer can understand what changed.
