Standards and acknowledgments

Release a revised operating instruction and retain each person's acknowledgment against the intended document.

Step by step

  1. Prepare the revision Quality Manager

Quality Manager records the document title, version and effective date with its attachment. Begin at Draft. Preserve the identity of any earlier document that already has acknowledgments against it.

    • Record the Draft instruction and its version
    • Updates Controlled documents
  2. Review the instruction Quality Manager

Quality Manager moves the document to Review and coordinates the release decision under the authority agreed during setup. Check the attachment with the people who understand the changed operation. Approved identifies the instruction released for use; Obsolete identifies a retired standard.

    • Coordinate Review and release under the agreed authority
    • Updates Controlled documents
  3. Record acknowledgment Quality Manager

Quality Manager links the relevant person to the exact document and records the acknowledgment date. Inspector can use the personal acknowledgment view to check their history under the configured access rules. Keep the document's version clear throughout the handoff.

    • Retain the person, exact document and date
    • Updates Training acknowledgments, Controlled documents, People
  4. Review the audience Quality Manager or Inspector

Quality Manager compares the acknowledgment history with the audience agreed for the instruction. Follow up with the people who need to read it. Confirm practical understanding through the team's operating practice before relying on the changed method.

    • Compare recorded acknowledgments with the intended audience
    • Updates Training acknowledgments, People

Where it usually breaks

And how to keep it from happening.

  • Replaced history. Reusing a document identity for a different version can make an old acknowledgment appear to cover the new instruction. Agree the versioning practice first.
  • Wrong attachment. A correct title is insufficient if the attachment belongs to an earlier method. Open the document during rehearsal.
  • Unclear audience. A list of acknowledgments needs an agreed audience before the team can identify outstanding reading.
