Equipment leases
A logistics or operations team may receive regular equipment charges from several lessors. Finance can use the lessor, invoice and payment records to distinguish each counterparty, due amount and bank movement. An invoice line provides the description, quantity, unit price, tax code and ledger account needed for routine charge review.
How Lease Finance Operations is set up for you
Lessor register
AP keeps the lessor contact, payment terms and remittance information available when a charge arrives.
Invoice decision
The Controller reviews the payable and supporting document before the native approval action records its decision.
Payment sequence
Treasury schedules an outbound movement, invokes release and later records the bank reference.
Exception trail
Failed payments and disputed invoices remain visible for follow-up instead of being treated as completed work.
A logistics or operations team may receive regular equipment charges from several lessors. Finance can use the lessor, invoice and payment records to distinguish each counterparty, due amount and bank movement. An invoice line provides the description, quantity, unit price, tax code and ledger account needed for routine charge review.
Choose one active lessor and a set of recent charges with different due dates. Enter an invoice with coded lines, attach its source and check the amount against the header. Route it through pending approval and inspect the review decision. Schedule and release a payment for the approved charge, then use a sample bank result to rehearse reconciliation. The team should be able to trace from invoice to payment and back.
Agree who verifies remittance details when a lessor changes address or contact. Decide how AP checks for a duplicate invoice number and which person resolves a charge dispute. Treasury should know what to do when an outbound payment fails or the bank reference is missing. Run those exceptions before scaling the process to more lessors.
The Staff Accountant can review related journal entries by period and organization. During close, check unposted entries and the payment reconciliation list alongside invoice balances. This keeps finance's operational records aligned for review.
