Facilities leases
A multi-site finance team receives recurring charges from property lessors. AP needs a consistent way to capture the lessor reference, organization, due date and charge lines, while Treasury needs to see which invoice a payment settles. The invoice and payment records give both teams a shared operating history.
How Lease Finance Operations is set up for you
Monthly site charges
AP enters the invoice and coded lines, attaches the source document and checks the balance before sending it for approval.
Entity ownership
The organization on the invoice identifies which legal entity bears the charge. Staff check it before approval and payment.
Disputed amount
A charge under discussion stays visible as disputed, with correspondence attached for the Controller's review.
Cash follow-up
Treasury links the outbound movement to the invoice and records the bank reference after release.
A multi-site finance team receives recurring charges from property lessors. AP needs a consistent way to capture the lessor reference, organization, due date and charge lines, while Treasury needs to see which invoice a payment settles. The invoice and payment records give both teams a shared operating history.
Start with one entity and a small group of active lessors. Select a recent monthly charge with more than one line and run it through capture, pending approval, Controller decision, payment release and bank matching. Ask AP to compare the payable balance with the payment amount. Check the decision record and operation receipts before expanding to other sites.
Agree how duplicate lessor invoices are identified and who owns a disputed charge. Define the attachment convention for the original invoice and any lessor reply. Choose ledger accounts for the recurring charge categories, then review the chart with the Staff Accountant. A period-end check should include the open invoice worklist, released payments waiting for reconciliation and draft journal entries.
A shared finance team should check the organization assigned to each lessor and the entity on each transaction. Put that check into the operating routine before the team begins entering a high volume of site charges.
