What you can do
Make the clearance decision traceable
A conflict check belongs to a specific opportunity and organization. The Relationship Owner records the matter summary and supporting evidence, then submits the check for independent review. The check carries its own status and revision. Submission is the point at which the version under review becomes the reference for the manager’s decision. A Sales Manager reviews the opportunity and the submitted check before engagement acceptance.
The review record captures a decision, reason, reviewer and source revision. Those details matter when the underlying opportunity changes later. A decision on an earlier version should not silently apply to a newer scope. If a check is rejected, the team has a recorded outcome and reason to address. Completion follows an approved review; it is not the same event as submitting the check.
How the work is organized
- Preparation. The Relationship Owner links the check to the opportunity and records the matter summary and evidence.
- Submission. The check moves from Draft to Submitted with its current revision identified.
- Decision. A Sales Manager reviews independently and records approval or rejection before completion.
What to agree during setup
Agree what information the matter summary must contain and which attachments should be visible internally or shared. Decide who can be an independent reviewer when the opportunity owner is also a manager. The review should name a real eligible person, with a reason that another manager can understand later. Agree how the team handles a returned or rejected review and how a changed scope is resubmitted. The opportunity and check must still point to the same organization when a decision is made.
The team should also agree when a checked date or conflict count is meaningful. A count without the underlying context cannot carry an engagement decision alone. Train owners to open the linked opportunity and evidence before asking a manager to decide.
Check the handoff on an actual case
A Relationship Owner has qualified an engagement and is preparing a proposal. They create a conflict check against the opportunity, write the matter summary and attach supporting evidence. The owner submits the check. A Sales Manager opens the review inbox, verifies the same opportunity and revision, and records a decision with a reason. If approved, the check can be completed before engagement acceptance. If rejected, the owner sees the reason and keeps the opportunity open for the appropriate next decision. An Auditor can later follow the submitted check, reviewer decision and supporting attachment without relying on a verbal recollection.
