What you can do
Record the work behind a status
A relationship activity belongs to an opportunity. It can be a call, meeting, email or task, with a due date, completion date and outcome. The line number and revision keep entries in a useful sequence as the engagement changes. The Relationship Owner uses these entries as qualification and negotiation evidence, so an activity should say what happened and what the next step is. An empty outcome is not useful when a manager must decide whether a record is ready to advance.
The opportunity remains the main working record. Activities explain the steps taken toward its status; they are not a second pipeline. Closed opportunities should retain their activity history for review. A manager can read the last meeting outcome and the next due task without asking the owner to reconstruct the conversation from memory.
How the work is organized
- Capture. Log the activity type and outcome against the correct opportunity.
- Follow-up. Use the due date for planned work and the completion date for finished work.
- Evidence. Refer to the activity when qualifying the opportunity or preparing an outcome review.
What to agree during setup
Agree how quickly an owner records a customer conversation and what a useful outcome contains. For a meeting, that might be the customer’s stated next decision and the named person responsible for follow-up. For a task, it should explain what must be done before the opportunity moves. Decide how due dates are reviewed so overdue work is acted on rather than merely listed. Keep sensitive details in the appropriate evidence attachment when the outcome field would be too broad.
The team should also agree when a new activity is needed after a proposal is sent. A negotiation status should reflect actual negotiation activity. If a client declines, preserve the activity that explains the loss while recording the final reason on the opportunity.
Check the handoff on an actual case
A Relationship Owner opens a New opportunity and logs a meeting with the prospective client. The outcome records the scope discussed and a follow-up task due later in the week. After the meeting outcome is complete, the owner qualifies the opportunity. They later log an email about the proposal, then a call when negotiation begins. A Sales Manager reviewing the close decision sees the sequence of contact and the evidence for acceptance or loss. The owner does not need to manufacture a status change to show progress: the activity itself records the work.
