What you can do
Start with a clear lending party
The App Administrator keeps each borrower in the right organization before a Credit Officer opens an application. Borrowers carries a name, code, active state, contact, address and eligibility note. Organizations carries the organization identity, active state, time zone and currency. Together these records give the team a consistent party to attach to an application and, later, a loan account. A borrower name by itself is too easy to confuse with another party when a team works across organizations.
The Credit Officer chooses the borrower as the application’s counterparty. The application also carries its own organization and owner. Confirm all three before review: the borrower is the lending party, the organization is the operating scope and the owner is the team member preparing the case. A loan account points back to its borrower through its owner field, so the account history remains tied to the same party after the application stage.
How the work is organized
- Party identity. Use the borrower code and organization to distinguish records with similar names.
- Operating scope. Keep the borrower and the application within the intended organization.
- Account continuity. Link the funded account to the borrower used for the application.
What to agree during setup
Agree who may create and update borrower records, how the eligibility note is reviewed and what makes a party active. The App Administrator manages organization configuration and membership. The Credit Officer uses borrower information to prepare a case; an Independent Credit Approver reviews a specific application revision. These jobs should not be collapsed into a general edit privilege.
Set a naming convention for borrower codes and organization codes before importing parties. Decide how a duplicate will be resolved. When one borrower has more than one account, keep each account’s provider reference distinct while preserving the shared borrower identity. Establish who checks the organization and currency when the account provider returns its record.
Check the handoff on an actual case
A Credit Officer receives a request from a borrower already recorded as active. They verify the contact and organization, then create an application with the borrower as counterparty and themselves as owner. The approver can inspect the same borrower and application relationship before recording a decision. If the borrower was selected under the wrong organization, correct the party and application scope before continuing the review. After funding, the account should still point to that borrower; the team should not create a second borrower merely because the provider used another account identifier.
