What you can do
Follow the funded account
A loan account identifies the borrower who owns it, the provider, an external account identifier, an account code, currency and active state. The Credit Officer uses these references to connect a funded account with the application and provider records. A disbursement line points to both an application instruction and an account. It records direction and amount, so the team can inspect the movement attributed to a particular request.
The application passes through authorized, submitted, pending and confirmed states. Those stages help the team separate a credit decision from the provider outcome. The actual account and movement records should be checked against provider references before the case is treated as settled. Operation receipts retain an action, operation key, expected revision and result state, giving the team a place to investigate a failed or uncertain attempt.
How the work is organized
- Account identity. Use the provider and external account identifier with the local account code.
- Movement link. Each disbursement names the application instruction and the account it affects.
- Outcome check. Compare the recorded movement and operation receipt with provider evidence.
What to agree during setup
Decide which team records the provider account and which source supplies its external identifier. Define how to verify that the account belongs to the intended borrower. Agree when a debit or credit movement is entered and what provider evidence supports it. The Credit Officer should know who handles a pending provider response and how to escalate a receipt marked failed or needing review.
Set a convention for account codes and disbursement references. Where the organization uses more than one currency, check the account currency and organization currency as part of the handoff. Keep the original application reference with the movement. If a correction is needed, the team should retain the earlier provider and receipt evidence, so an Auditor can see why the account movement changed.
Check the handoff on an actual case
An Independent Credit Approver has approved an application’s reviewed revision. The Credit Officer follows the case through provider submission and receives an account identifier. They identify the borrower and create or select the corresponding loan account. A disbursement movement is recorded against that account and the application, with its direction and amount. The officer checks the provider reference, operation receipt and application evidence before treating the record as a confirmed outcome. If the provider response is pending, the case stays in follow-up; the team does not infer a disbursement from an approved credit decision alone.
