What you can do

Keep the requested loan traceable

Loan applications hold the request that the credit team examines. Each application has a record number, subject, requested amount and request date. It also identifies an organization, a Credit Officer owner and a borrower counterparty. The revision and status let a reviewer understand which version is under consideration. A later provider instruction reference, value date and confirmation date connect the request with its outcome.

The Credit Officer prepares a draft, checks the borrower and attaches supporting material before sending it for review. A review or pending state is a work stage, not a provider result. The team records an authorized state after the relevant credit decision, then follows submission, pending and confirmed states against the provider evidence. A rejection remains visible on the same application record, with the review decision and reason available to explain it.

How the work is organized

  • One request. The record number anchors the application and its supporting evidence.
  • Visible revision. The reviewer decides against the version they received.
  • Outcome trail. Provider references and operation receipts help connect the application with actual effects.

What to agree during setup

Choose when a draft is ready for underwriting, who may change the request amount and how a revised case returns to review. Decide which evidence the Credit Officer must attach for the organization’s lending practice. The Independent Credit Approver needs a clear handoff point and an exact revision; otherwise, an amount can change between review and decision without a clear explanation.

Agree who records the provider instruction identifier and who verifies confirmation. The Credit Officer should check the provider result against the application, account and operation receipt before marking the case confirmed. A rejected provider attempt and a rejected credit decision mean different things. Keep the decision reason with the review record and the provider failure with the operation receipt.

Check the handoff on an actual case

A borrower requests a dollar amount for a specific purpose. The Credit Officer records the request, selects the organization and borrower, and adds attachments. The Independent Credit Approver inspects the submitted revision and returns it for clarification. The officer updates the case and presents the new revision. When the approver records an approval, the team can follow the authorized application into provider submission. If the provider returns a pending response, the officer keeps it pending until a matching provider reference and evidence support confirmation. The record number remains the same case throughout.
