Maintenance teams in production plants
A plant maintenance team needs to know which machine is waiting for work, who will attend it and whether the repair has passed inspection. Machine Maintenance (CMMS) connects that operating conversation to the equipment register, work order and accepted service result. Start with a production area where the Maintenance Manager and Technicians can rehearse the whole cycle together.
How Machine Maintenance (CMMS) is set up for you
Equipment identity
Give similar pumps, conveyors and packaging machines distinct tags and useful locations. The Technician should recognize the intended unit from the request before arriving at the machine, especially when equipment has moved between lines.
Planned intervention
Review preventive schedules with the Maintenance Reviewer and inspect the requests created when plans become due. The Maintenance Manager checks each generated assignment against the work and the people available for the actual shift.
Repair evidence
Keep labor and consumed parts attached to the corrective work order. The Maintenance Reviewer uses that evidence to decide whether the intervention is acceptable before the service result returns the asset to Active.

Machine Maintenance (CMMS) connects that operating conversation to the equipment register, work order and accepted service result. Start with a production area where the Maintenance Manager and Technicians can rehearse the whole cycle together.
Choose a conveyor with a recurring inspection and a known corrective task, such as a belt replacement. Confirm its identity, prepare the preventive plan and rehearse a request through permit approval. Let the assigned Technician record the intervention and submit inspection. Check the accepted service outcome and next due date with the Maintenance Manager.
Use that same case to agree part units and purchasing follow-up for a replacement belt. Keep production scheduling in the system that owns it and agree any connection needed to coordinate maintenance windows. Expand to neighboring equipment after the team can explain the work and review decision from the retained records.
Features to start with
Roles on the team
- Maintenance Manager
- Owns setup, planning, and assigned operational work. Record entry (View, View records, Create, Edit) on Assets, Work Orders, Work Logs, Spare Parts, Part Usage, Safety Permits, Preventive Plans. Read only (View, View records) on People, Service History, Condition Readings. Read access to the app pages. Restrictions: create/edit eligible drafts only - active configurations require a reviewed amendment, not a direct edit; no direct edit of posted quantities, computed balances, or reviewer decisions; actor identity resolves through People.User and the authenticated runtime, never an editable name field.
- Maintenance Reviewer
- Reviews evidence and authorizes eligible outcomes. Record entry: none - this role never gets create/edit on any table. Read only (View, View records) on People, Assets, Work Orders, Work Logs, Spare Parts, Part Usage, Safety Permits, Service History, Preventive Plans, Condition Readings. Read access to the app pages. Restrictions: review actions apply only to the exact submitted revision and only by someone independent of the preparer where required; no raw approval shortcut and no protected-balance editing; a reject action leaves the evidence and reason intact rather than deleting or overwriting them. State changes happen through the named workflows WF-01 and WF-02.
- Technician
- Captures assigned maintenance work and evidence. Record entry (View, View records, Create, Edit) on Work Logs, Part Usage, Condition Readings. Read only (View, View records) on People, Assets, Work Orders, Spare Parts, Safety Permits, Service History, Preventive Plans. Read access to the app pages. Restrictions: own assigned operational work only - referenced setup/master records are readable as labels and task context, never editable; configuration, rates, commercial documents, and approvals are never operator-editable; quantity posting, sign-off, and state changes go through named guarded workflows with authenticated actor and source-revision checks, not direct field edits.
- Manager
- Prepares maintenance purchase records and checks their source links and delivery details under the access policy agreed during setup.
