What you can do

Keep the work accountable

Finance reviews approved creative deliverables for an amount and engagement. Deliverable Invoice marks a passing deliverable invoiced and writes an operation receipt. Payment rows hold invoice number, amount, due date, method and collection status against the deliverable.

How the work is organized

  • Owner. Finance Manager checks approved deliverables and reconciles payments against their invoice numbers.
  • Record. A payment points to a creative deliverable, which points to the client engagement.
  • Review. Invoice and payment actions create separate operation receipts; a deliverable marked invoiced does not prove collection.

What to agree during setup

Agree how invoice numbers enter the payment record and where Finance Manager verifies bank or payment provider outcomes. Enter payment amount and due date against the correct deliverable. Decide how overdue and disputed statuses are reviewed, and who corrects an approved deliverable when its amount or engagement is wrong. Keep invoice transmission and accounting posting with the agency’s chosen external systems. Test the financial trail from client to engagement, deliverable and payment before expanding the process to other accounts.

Check the handoff on an actual case

An approved deliverable missing an amount stays approved with a failed invoice receipt. Once corrected, finance reviews it again. When a payment is marked received, Deliverable Payment Receipt records the collection operation. An overdue or disputed payment stays visible for follow up against its invoice number.

Finance Manager opens an approved creative deliverable with an amount and engagement. The invoice action marks a passing record invoiced and records its own receipt. Finance then creates the related payment with invoice number, due date and amount. If the due date passes, the payment can be reviewed as overdue; if the payer disputes it, Finance Manager keeps that status visible. After confirming the actual collection, Finance marks the payment received and checks for the separate Payment Record operation receipt.

Open Payments Overdue Or Disputed and compare each payment with its linked creative deliverable and invoice number. Check the paid date and method when a received amount is recorded. If the deliverable invoice action failed because the amount or engagement was absent, correct that source and repeat the invoice check; the payment should not stand in for the missing billing step. Reconcile collection against the bank or provider before marking a payment received. Agency Partner can then compare delivered and billed values on the Engagement Margin Desk.
