What you can do
Keep the work accountable
A creative deliverable belongs to an engagement and has an owner, due date, summary and amount. The owner tracks it through pending and submitted work. The engagement manager reviews the result before setting it approved for billing. Billing readiness and days to due help the team prioritize the handoff.
How the work is organized
- Owner. Delivery Specialist prepares the asset; Engagement Manager decides whether the submitted deliverable is accepted.
- Record. Each creative deliverable links an owner and engagement to its due date, amount and billing state.
- Review. Finance Manager checks the approved record before the invoice action changes its status.
What to agree during setup
Agree who owns each creative deliverable, how due dates are revised and who confirms that submitted work is accepted. Keep an amount and engagement on the record before Finance Manager attempts invoicing. Use the billing readiness and days to due fields to sort the queue, then open the source record for the final decision. Decide how the invoice number will be entered on the related payment record. If a client asks for a changed asset, keep its owner and the related engagement clear before changing its billing state.
Check the handoff on an actual case
A completed campaign asset with an amount but no engagement cannot pass the invoice guard. It remains approved with a failed operation receipt until the engagement is attached. The team can correct the record and check the billing handoff again without treating a failed attempt as a sent invoice.
A designer submits a campaign asset with a due date, owner, amount and engagement. Engagement Manager checks the work and marks it approved. Finance Manager then uses Deliverables Ready To Invoice to check the amount and engagement before the invoice action. A passing record becomes invoiced with an operation receipt. Try an approved asset without an engagement: the action leaves it approved and records a failed receipt. Restore the correct engagement before retrying the same deliverable.
Use Deliverable Billing Exceptions to follow approved or missed work that needs attention. The days to due field helps the owner see whether a due date has passed, while billing readiness helps Finance Manager assess the handoff. A failed invoice attempt is visible in the operation receipts; it is not a payment. Once invoiced, follow the related payment record for invoice number, due date and received state. Compare the asset against its engagement before considering the billing case closed.
