What you can do
Keep the work accountable
A specialist records the service date, description, hours and billable flag against an engagement. Submitted entries reach the engagement manager for review. Service Entry Approval checks that the line is billable, has hours and points to an engagement before changing it to approved. The decision and operation receipt make that action traceable.
How the work is organized
- Owner. Delivery Specialist records the dated service line; Engagement Manager decides whether submitted billable work is accepted.
- Record. Each service entry identifies the engagement and team member, with hours, rate and calculated amount.
- Review. Service approval records a decision and operation receipt only when the submitted line passes its guards.
What to agree during setup
Decide who enters service work and who reviews it for each engagement. Keep the team member and engagement references current before a line is submitted. Confirm how the agency sets billable treatment, rates and service descriptions so a manager can judge the work from the source record. A submitted line needs billable treatment, positive hours and an engagement for the approval action. Review the approved work list with Finance Manager, and agree how the agency will handle later invoicing of service lines separately from creative deliverable invoicing.
Check the handoff on an actual case
Suppose a strategist submits a line with hours but no engagement. The approval attempt leaves it submitted and records a failed receipt. The manager corrects the source association, then reviews it again. An approved line appears in the approved work list until its invoiced status changes.
Use a strategist who records a billable service line with a service date, positive hours and an active engagement. Delivery Specialist submits it; Engagement Manager checks the work and approves it. The accepted line changes to approved and has both a review decision and a successful operation receipt. Next submit a line with no engagement. Its approval attempt leaves it submitted with a failed receipt. Correct the link and review the same source again so the manager can explain the eventual decision.
Open Service Entries Awaiting Approval to confirm which submitted lines need review. Compare the team member, description, hours and billable flag with the linked engagement before acting. Approved Not Invoiced lists accepted service work still awaiting a separate billing step. Its status alone does not prove that an invoice was sent. If the line is later rejected or corrected, keep its prior decision and receipt visible so Finance Manager can reconcile the amount used in delivery reporting.
