How do I get started?

Click Get started, then use Proto to configure Medical Coding System for your business. Begin with a patient, a scheduled encounter, a signed note and a reviewed service charge.

What does the encounter record hold?

It identifies the patient, clinician, visit type, times and current visit state. Notes, observations, specimens, dispensations and charges connect through the encounter reference.

How do we track consent?

Keep the patient consent status current and record each purpose-specific consent with its version, signed date, expiry date and document.

Who enters clinical notes?

The Licensed Clinician creates an attributed note against an encounter and moves it from Draft to Signed when ready. Amended remains a distinct state for a changed note.

How do specimen states work?

A specimen can be Ordered, Collected, Received, Tested or Rejected. Its type, collection time and accession number help the team trace the event.

What is recorded for a medication dispensation?

The record holds medication, lot number, quantity, unit, encounter and authorizing person.

Who reviews a charge?

The Clinical Coordinator checks the encounter-linked service description and amount before moving a Draft charge to Approved or Voided.

How are patient payments tracked?

Each patient payment has a date, amount, reference and Pending, Confirmed or Refunded state. The Clinical Coordinator can review these states alongside the patient record.

How do staff follow unfinished care?

A care task has a patient, assigned person, due date and status. Open, in progress and Escalated help the team find work that still needs attention.

How do we review clinician authority?

The Clinical Governance Administrator maintains privilege type, evidence, effective dates and status, plus care-team assignments for a patient and clinician.
