What you can do

Agenda preparation

Agenda items capture the topics a project team intends to cover. Each topic belongs to a project and can have an owner and due date. A Meeting Organizer reviews the pending topics before the meeting and marks each Met or Missed after discussion. The project reference keeps the agenda tied to delivery work. It does not assume that an agenda topic itself is a decision or assigned action.

How the work is organized

  • Set the context. Start from the project and use its named team members to make the owner of each record clear.
  • Keep the handoff visible. Move the work through the existing status values and record who took the next step.
  • Review exceptions. Open the relevant saved list when a date slips, an approval waits or a follow-up needs verification.

What to agree during setup

Agree which person can mark a topic Met and what evidence is needed before closing it. Decide whether an unfinished topic remains Pending for the next meeting or becomes Missed. Use concise topic names and notes that explain the open question. Because agenda items reference the project, keep the project name consistent with the meeting being prepared.

Map the project’s real operating language to the record names before importing history. Have the Project Manager and Delivery Lead rehearse the same case with ordinary team accounts. If a role sees too much or cannot complete its assigned step, correct access before the first live cycle. Preserve the project reference and the person responsible when records are moved or corrected.

Check the handoff on an actual case

For a project review, enter a budget question and a delivery risk as separate pending topics. Give each an owner and due date. At the meeting, the risk is discussed and marked Met; the budget question cannot be answered and is marked Missed. The organizer reviews Agenda Items At Risk and asks the owner for a revised answer. If the discussion creates work, create an action items record against the actual meeting rather than putting the assignment only in agenda notes.

Open the source record again after the handoff. Compare its status, owner, project and dates with the list used by the receiving person. The team should be able to explain the next action from the record itself, including a blocked or failed attempt. Rehearse the correction path with the same roles who will use it in ordinary work.

What your team sees

  • Open Agenda — Pending project topics with their owner and due date.
  • Agenda Items At Risk — Topics marked Missed for follow-up after the discussion.
