Custody operations
A custody operations team receives account identifiers, application decisions and settlement events from providers. Its local records should retain those identifiers and the instruction or application that prompted them. A local review result and a provider outcome answer different questions, so the team follows both.
How Mutual Fund Platform is set up for you
Account application
Link the applicant and initial deposit to the parent banking instruction.
Provider account
Record the external account identifier, currency, provider and owning counterparty.
Evidence
Keep source event identifiers on confirmations, settlements and reconciliation movements.
Reconciliation
Compare each movement with a confirmed instruction on the same account, amount and date.
A custody operations team receives account identifiers, application decisions and settlement events from providers. Its local records should retain those identifiers and the instruction or application that prompted them. A local review result and a provider outcome answer different questions, so the team follows both.
Start with a single provider account opening. The preparer records an application against its parent instruction, submits the supporting documents and keeps the provider application identifier. The independent approver decides against the submitted revision. Once provider authority arrives, the Treasury Operations Lead records the resulting financial account with its external identifier. Use that account in an authorized bank instruction and follow it through verified provider evidence. Import one dated snapshot and a movement for the account, then test an exact match and an exception. Keep the provider application result with the parent instruction so the account opening can be traced to actual authority. If the provider changes the account identifier, check the existing instruction and movement references before updating the directory. Agree who supplies provider notices, who verifies them and where a correction is recorded. The Auditor should be able to follow the trail from application through account and movement without relying on a summary alone.

Roles on the team
- Auditor
- Read authorized evidence and reports in a scoped, read-only audit view. No record writes and no action execution.
- App Administrator
- Maintain organization configuration and membership. Administrative membership does not confer approval, financial or execution authority and cannot grant an independent reviewer entitlement.
- Independent Treasury Approver
- Review eligible instruction revisions independently and reconcile operational evidence. Approve or reject through guarded actions only; no unrestricted editing of protected or executed records; a reviewer cannot approve their own submission.
- Treasury Preparer
- Prepare assigned operational records and execute eligible reviewed actions. Own organization and draft scope only; accepted, posted and provider evidence is read-only; guarded workflows authorize every transition.
- Treasury Operations Lead
- Maintain provider account records and investigate the organization's provider evidence and reconciliation exceptions. Coordinate open instruction and application follow-up without granting independent approval.
