Treasury shared services
A shared treasury team may process instructions for several organizations while each instruction still belongs to one entity. Organization codes, currencies and team membership help route work to the right preparer and reviewer. The person maintaining the directory is separate from the person who independently authorizes a financial instruction.
How Mutual Fund Platform is set up for you
Organization scope
Keep each instruction and application attached to its operating entity.
Provider directory
Maintain eligible counterparties and the financial accounts each provider holds.
Review handoff
Decide on a frozen revision and retain the reviewer's identity and reason.
Exception ownership
Assign provider and reconciliation discrepancies to a lead who can investigate them.
A shared treasury team may process instructions for several organizations while each instruction still belongs to one entity. Organization codes, currencies and team membership help route work to the right preparer and reviewer. The person maintaining the directory is separate from the person who independently authorizes a financial instruction.
Pilot one organization and one provider account before adding another entity. The administrator records team members under their organizations. A preparer drafts an instruction with the intended counterparty and debit and credit scopes; an independent approver records a reasoned decision on that revision. The operations lead follows the submission reference and provider confirmation. Repeat the case with the second organization and check that its records and people stay in their permitted scope. For reporting, group instructions by organization and recorded status, but retain each record's provider identifier and evidence so a summary can be explained. Have the lead compare each provider account with its owning counterparty before the second entity begins work. If a provider notice names the wrong entity, retain its source identifier and investigate it before anyone marks an instruction confirmed. Agree who resolves a cross-entity account selection before live use.
Features to start with
Counterparty and account setup
Know which organization, provider and account an instruction can use.
Bank instructions
Prepare an accountable bank instruction and distinguish release from provider confirmation.
Independent review
Make the authorization decision against the version the reviewer actually saw.
Roles on the team
- Auditor
- Read authorized evidence and reports in a scoped, read-only audit view. No record writes and no action execution.
- App Administrator
- Maintain organization configuration and membership. Administrative membership does not confer approval, financial or execution authority and cannot grant an independent reviewer entitlement.
- Independent Treasury Approver
- Review eligible instruction revisions independently and reconcile operational evidence. Approve or reject through guarded actions only; no unrestricted editing of protected or executed records; a reviewer cannot approve their own submission.
- Treasury Preparer
- Prepare assigned operational records and execute eligible reviewed actions. Own organization and draft scope only; accepted, posted and provider evidence is read-only; guarded workflows authorize every transition.
- Treasury Operations Lead
- Maintain provider account records and investigate the organization's provider evidence and reconciliation exceptions. Coordinate open instruction and application follow-up without granting independent approval.
