Systems to connect
- Payment provider. Reconcile a provider’s receipt reference and confirmed outcome with the appointment’s Payments record before treating money as collected.
- Point of sale. If the studio captures treatment charges elsewhere, map its transaction to the appointment and the corresponding treatment charges record.
- Accounting. Agree how posted service charges, treatment charges and confirmed Payments are passed to the accounting system used by the studio.
- Client communication. If appointment notices are sent through another service, use the client’s contact details and the appointment’s confirmed service window.
How connections are governed
Give each external event a way back to its appointment and source reference. Decide which system is responsible for payment confirmation and how a refund changes the local payment status. Test a delayed provider response and a corrected charge before relying on a connection during a live studio day. Finance Officer reviews financial records; Property Manager owns visit and station decisions.
