What you can do
Keep the service attached to the visit
A treatment booking records the treatment type, treatment name, start time and client count. It points to an appointment, which already identifies the client, station and visit window. The Front Desk Agent can capture a Nail Service or Spa Treatment against the chosen appointment and return to it when the client asks what was booked. The treatment booking number helps distinguish separate services on one visit.
A treatment charge is a different record. It carries the treatment name, charge time, amount and a Draft, Posted or Voided state, with its own link to the appointment. The team should use the shared appointment to connect service activity and its financial record. Matching only on treatment name would confuse repeated services or similarly named items from different visits.
How the work is organized
- Book. The Front Desk Agent selects the appointment and records the treatment type, name, start and client count.
- Deliver. The appointment and station states show whether the visit has started while the treatment record identifies the service.
- Charge. The Finance Officer reviews any treatment charge and its posted state against the same appointment.
Treatment bookings supports the studio service line, while service rates holds service types, effective dates, rates and minimum sessions. The Property Manager maintains those rate records. When the team discusses pricing, compare the applicable service rate and the appointment’s own service rate with the charge actually captured. A named treatment is useful to the client, but it is the linked visit and charge record that let the Finance Officer review the account.
What to agree during setup
Agree a naming convention for treatments and how the desk distinguishes a nail service from a spa treatment. Decide when a separate treatment booking is created for multiple services during one visit. A start time should mean the planned start of that treatment consistently; otherwise the booking list becomes hard to use for a day’s work.
Agree who may enter treatment charges and who changes their status. The configured Finance Officer manages treatment charges, while the Front Desk Agent manages treatment bookings. The Operations Reviewer can view both. If the studio uses a separate point-of-sale service, set up the exchange deliberately and retain the appointment link as the way to reconcile a charge with the visit.
Check the handoff on an actual case
A client arrives for a nail service and adds a spa treatment during the same visit. The Front Desk Agent records both treatments against the existing appointment rather than creating an unrelated visit. Check that each booking has its correct type, name and start. The Finance Officer can then review treatment charges against that appointment, compare amounts with the service being delivered, and post eligible charges. If a charge is wrong, its Voided state leaves the correction visible.
