What you can do
Evidence trail
A review decision stores an Approve, Reject or Return decision, the reason, source revision and team member who reviewed it. The funding case link keeps that decision near the request it concerned. A later case edit does not remove the reason given for the earlier review.
How the work is organized
- Working record. Record attachments hold a title, evidence type, uploaded time, visibility and uploader. Use Internal or Shared deliberately when placing a file on a case. operation receipts add an operation key and result state so Finance Officer can distinguish completed work from a failed or review-needed attempt. These records support investigation when the case status alone is not enough.
- Decision point. The responsible reviewer checks the linked case, current status and supporting records before recording a decision or allowing the next step.
- Evidence. Keep the source reference, reason or attachment beside the case so another team member can retrace the result.
What to agree during setup
Agree which evidence types are required for funding review and close, who may see Shared files, and how to correct an attachment sent with the wrong visibility. Rehearse a failed operation so staff know how to read the failure reason and preserve the original key.
Check the handoff on an actual case
A reviewer is asked to close an active case after disbursement. They open the award, receipt event, restricted allocation and supporting attachment. Finance Officer checks the provider receipt and any operation marked needs review before the reviewer authorizes close. If the evidence is incomplete, the reviewer records a Return decision with a reason, and the case stays open for correction.
Open the same case from the next role’s view. Check that the organization and program still match, that the amount and restriction are understood, and that the next person can find the relevant decision or receipt. If a detail changes, keep the earlier source revision and decision history readable before acting on the revised case.
A Shared attachment may be suitable for people collaborating on the case, while an Internal attachment should stay within the narrower review scope agreed by the organization. The evidence type and upload time help a reviewer distinguish a current award document from an older supporting file. review decisions use the source revision to say which version of the case was considered. operation receipts do the same for action execution through their expected revisions. When an operation needs review, preserve both references before another person tries to resolve it.
What your team sees
