Care operations with service billing
A provider that charges for services can keep the episode description and local charge decision together. The charge points to an encounter, while a payment points to a patient. Clinical Coordinator can review the service description and amount after care work is documented and see whether a charge is draft, approved, invoiced or voided.
How Nursing Home / Assisted Living is set up for you
Episode charge
A completed encounter gives the coordinator context for the service description and amount being entered.
Receipt review
A patient payment shows its received date, amount, reference and whether it is pending, confirmed or refunded.
Status follow-up
Draft charges and pending payments give staff focused lists for the next billing decision.

Clinical Coordinator can review the service description and amount after care work is documented and see whether a charge is draft, approved, invoiced or voided.
Select a narrow set of service descriptions and agree on how the amount is checked. Have Clinical Coordinator create a draft charge only after confirming the encounter. Review the charge, then update its state to approved. Record invoiced when the billing action is known. For a payment, have the coordinator inspect the patient, amount, received date and reference. Check the receipt source and keep the billing reference available for reconciliation.
Rehearse two episodes for the same patient and a single payment. Ask staff to show which charge belongs to which episode and what the payment record actually says. Use the payment reference to investigate how the receipt relates to the patient's charges. Define who investigates a voided charge or refunded payment and how those decisions are reflected in the external financial process. The local report can then support a careful review of charges and receipts as distinct sets.
